Council serviceBanking of monies paid and receipt of payments made to the council
Why we need your personal data
  • Your information will be used to allocate your payment to the correct invoice/debt and to provide any refunds if applicable.
Why we're allowed to use it
  • Article 6.1(b) of the General Data Protection Regulations.
How your data is used
  • Identifying the invoice/debt to which the payment relates in order to allocate the payment correctly, providing a receipt (if requested), and to provide a refund should this become necessary.
  • We will not disclose your personal information to third parties for marketing, sales, or any commercial purpose, and we will not use your personal data in a way which may cause you harm.
How long is the information retained
  • Six years plus the current year, as per The Local Government Finance Act 1988, 1992 and the standard retention period for HMRC, after which all data will be securely destroyed.

Why we need your personal data
  • To calculate amounts for VAT and CIS.
Why we're allowed to use it
  • Article 6(c) of the General Data Protection Regulations.
  • The Income Tax (Employment) Regulations 1993.
How your data is used
  • Information on payments made by the council may be provided to the Cabinet Office and other bodies for National Fraud Initiative purposes. This will be used for cross-system and cross-authority comparison for the prevention and detection of fraud.
  • We may pass your information to other agencies or organisations such as HM Revenues and Customs.
  • We will not disclose your personal information to third parties for marketing, sales, or any commercial purpose, and we will not use your personal data in a way which may cause you harm.
How long is the information retained
  • Six years plus the current year as per the standard retention period for HMRC, after which all data will be securely destroyed.

  • To make payments and record related information, such as expenditure type, payee, value, and address.

Why we're allowed to collect it

  • To hold details of payments made for expenses and allowances on our finance systems. This information will be included in reporting finances as necessary.
  • To protect the public funds it administers, the council may use information held about you for all lawful purposes, including, but not limited to:
    • Prevention and detection of fraud, and
    • Protecting public funds in investigating misuse of public money.
  • Information on payments made by the council may be provided to the Cabinet Office for National Fraud Initiative purposes. This will be used for cross-system and cross-authority comparison for the prevention and detection of fraud.
  • We may also share this information with other bodies responsible for detecting and preventing fraud or auditing and administering public funds as required by law.
  • We may pass your information to other agencies or organisations, such as HM Revenues and Customs, as allowed by law.

  • Investigating and recording any insurance related records of the council, such as insurance claims, insurance policies, providing the information as evidence and insurance liabilities.
  • Where necessary in relation to insurance or when used as evidence, we may pass your information onto our insurers and their legal providers.
  • The council has a duty to protect the public funds it administers and may use information held about you for all lawful purposes, including, but not limited to:
    • Prevention and detection of fraud, and
    • Protecting public funds in investigating misuse of public money.
  • We may also share this information with other bodies responsible for detecting and preventing fraud or auditing and administering public funds as required by law.

    • Matching data with electoral registration records.
    • Protecting public funds in investigating misuse of public money.
  • Information on payments made by the council may be provided to the Cabinet Office for National Fraud Initiative purposes. This will be used for cross-system and cross-authority comparison for the prevention and detection of fraud.
  • We may also share this information with other bodies responsible for detecting and preventing fraud or auditing and administering public funds as required by law.
  • We may pass your information to other agencies or organisations, such as HM Revenues and Customs, and debt enforcement agencies, as allowed by law.
  • We may check information you have provided or information about you that someone else has provided, with other information we hold. Sources of information include other council departments and other councils.
